Community Center Reservations
- What rooms can I reserve at the Superior Community Center?

There are a variety of spaces in community center. To view all of the options available, please visit the Community Center Reservations Website. There you will be able to view details and images for each space.
- What types of room reservations are permitted?

Individual Reservation – May include, but is not limited to the following:
♦ Family Gathering (i.e., Birthday Party, Baby Shower, Reunion, Graduation Party, etc.)
♦ Non-Fee Based Clubs/Groups (i.e., Scouts, Book Clubs, School Activities/Groups, etc.)
♦ Other Non-Fee/Revenue-Based Intent (i.e., Remote Working, Business Meetings, Group Collaboration, etc.)Program/Service Provider – The reservation holder is inviting/advertising for attendees to participate in an activity where they or a designee will be instructing/sharing information. This may or may not include fees being charged.
♦ Offering a program/service is permitted with an approved partnership with the Town of Superior.
♦ A Program Proposal is required for all program/service offerings taking place at the Superior Community Center.
♦ If you would like to explore options for partnering with the Town of Superior to offer your program or service, please complete the Program Proposal application. Email the completed form to TOSPROS@superiorcolorado.gov
♦ Rooms will be reserved by the Recreation Supervisor once the Proposal is approved.Non-Profit Organizations – These types of reservations are permitted where the purpose of the reservation provides a mutual benefit for both the reservation holder and the Town of Superior.
♦ Admission fees may not be collected on Town of Superior Property.
♦ Donations and or fundraising may be collected with prior approval from Town management.
♦ If you would like to explore options for partnering with the Town of Superior on a Non-Profit room reservation please submit your request via the Community Center Contact Form.
♦ Reservations may be completed online with an adequate description of intended use in the Reservation Type prompt during the reservation checkout process. Staff will reach out if a conflict is discovered when reviewing the information provided. - What types of reservations are not permitted?

Business/Commercial – Earns a profit from the reservation. (i.e., ticket/admission fees, products, and or services sold to the public.)
♦ This type of reservation is not allowed per the Fees & Policies document.
♦ No commercial activities are permitted on Town of Superior property without prior approval. Commercial activities include selling items or services, conducting auctions, raising or collecting funds, charging admission, promoting a business, or gambling.Please call the Community Center (303-554-9005) for more information before completing the room reservation process.
- Is priority given when booking room reservations?

Yes, Community Center reservations are booked based on availability and priority is given in the following order:
1. Town of Superior sponsored or co-sponsored programs, meetings, and events.
2. Town of Superior Advisory Group sponsored or co-sponsored programs and events.
3. Residents and organizations located in Superior. (Must provide proof of residency in the form of a driver’s license or business license)
4. Non-Residents and organizations located outside of Superior. - How far in advance can I make a room reservation?

Due to facility programming and the above priority list in the previous question, reservations are not accepted more than four months in advance.
- Who can reserve a room for free?
-
All fees for individual room reservations by Town of Superior residents, resident businesses, and resident organizations shall be waived, for up to two reservations per month; provided that any user that reserves a space and fails to appear will be charged for the applicable fees set forth in the Town of Superior Fee Schedule.
- What is the maximum amount of time for an individual room reservation?

An individual reservation can be anywhere from a minimum of one hour to a maximum of four hours. Back-to-back, reservations (two, four-hour time slots in one day) are each considered individual reservations and therefore counted as two free reservations for the month. Any additional reservations in the same month will be invoiced for the hourly fees listed in the Town of Superior Fee Schedule. Fees are listed on page 9 of the fee schedule document.
- What are the hourly fees listed in the Town of Superior Fee Schedule?

Room Reservation Fees Residents Non-Residents/Business Coyote Room $15 per hour $45 per hour Industrial Mine Room $20 per hour $60 per hour Osprey Room $30 per hour $90 per hour Longs Peak Room $60 per hour $180 per hour Entire Facility Reservation: Resident = $400 per hour & Non-Resident = $1200 per hour
All groups with 60 or more guests will be charged a refundable $200 security/damage deposit.
- Can I rent the entire facility?

Yes; however, it must be done far enough in advance to ensure no other reservations are already booked.
Please submit an Entire Facility Request on the Community Center Reservations Website.
The request is pending until confirmed by the Recreation Supervisor. You will be contacted to discuss your reservation once submitted. If you have questions or for more information, please call the Superior Community Center at 303-554-9005.
- Can I reserve a room for someone else?

No. Due to the permitting process, the permit holder must be present for the entire duration of the rental. Guests are not permitted into a room prior to the arrival of the permit holder for safety and liability reasons.
- What if my plans change and I need to cancel my reservation?
-
Room reservations can be cancelled online in your CivicRec Account. Once logged in to your account navigate to your Transaction History on the right-hand side. Then find the Reservations tab to the left and under the Transaction History. Find the reservation you would like to cancel and click on Refund under the Actions tab. Cancellations are processed through a refund even if the reservation was booked as a free transaction. If you need assistance with this process please call the Superior Community Center at 303-554-9005.
- What if I forget to cancel and don’t show up for my reservation?

You will receive one no-show policy reminder email and your fees will be waived. Any additional no-shows will result in being invoiced for the applicable fees set forth in the Town of Superior Fee Schedule. Community Center fees can be found on page 9 of this document.
- Can I bring alcohol for my event?

Outside alcohol is not allowed. However, if you would like alcohol at your event, you can coordinate with Serendipity Tap n Café by contacting Gwen Buehler at gwen@serendipityfood.com. All alcoholic beverage requests require a two-week notice.
- Can I bring outside food for my event?

Yes, you can. We ask that you coordinate with Serendipity Tap n Café by contacting Gwen Buehler at gwen@serendipityfood.com. This is to ensure adherence to proper food safety regulations.
- What is included with my room reservation?

Included with your reservation are tables, chairs, AV cables for capable rooms, and televisions for capable rooms. For more details and images of each room, visit the Community Center Reservations website.
- How do I access the room on the day of my reservation?

Please check-in with the Guest Services Associates at the front desk and they will conduct a walk-through and unlock the room for you.
- Am I allowed to arrive early to set up?

We can only allow the permit holder and guests into the reserved rooms during the permitted hours. If you need more time to set up the room, please contact the Superior Community Center at 303-554-9005 and we can adjust the permit depending upon availability.
- What do I need to know about decorating?

The room is yours to decorate within certain parameters. We ask that you only use painter's tape when affixing decorations–absolutely no other tapes or staples. Please do not use any rice, confetti, glitter, or birdseed in your decorations. You are only allowed to decorate within the space on your permit. Due to the sensitivity of the fire alarms please refrain from using open flames or fog machines.
- Can we open the garage doors during our reservation?

Guest Services associates can open and close the garage doors for you to unload items at the beginning of your event or to load items at the end of your event. Due to safety concerns and frequent vehicular traffic around the facility perimeter, we ask that all guests for your event enter through the front entrance. Entering and exiting through the garage doors is not permitted.
- Am I allowed to play music during my reservation?

Yes, as long as noise levels stay at a reasonable volume and they do not affect other permit holders or public spaces. Multiple infractions could lead to the immediate termination of the event and a possible permanent ban from future reservations.
- What are the set-up and clean-up requirements?

As the permit holder, you are responsible for setting up and arranging the provided tables and chairs. We ask that you use care when moving these items. If you have questions about how to move these items properly or require more tables or chairs for your room reservation, please ask a Guest Services Associate for assistance. The reservation holder is responsible for the removal of all trash and supplies in the reserved area prior to the permitted end time.
